The Industrial Machinery Sourcing Process

How industrial machinery sourcing works

The industrial machinery sourcing process runs in five steps: source a vetted manufacturer, arrange pre-shipment inspection, confirm CE documentation, handle freight and customs, then deliver. Indock manages each step as an EU-based intermediary, so accountability sits with a party inside the EU rather than with a remote factory.

The five steps

  1. Source a vetted manufacturer. We take your technical specifications and capacity requirements and shortlist manufacturers we have checked for registration, certifications, and reference installations. You approve the manufacturer and the landed quote before anything proceeds.

  2. Pre-shipment inspection. Before the machine leaves the factory we arrange pre-shipment inspection, with factory acceptance testing where the build warrants it, so build quality and function are verified against the agreed specification rather than taken on trust.

  3. CE documentation. We confirm the CE marking and Declaration of Conformity and the technical file are in order, so the equipment can be placed on the EU market and operated legally on arrival.

  4. Freight and customs. We coordinate freight from the factory, handle customs clearance and import formalities, and manage the documentation that keeps the shipment moving.

  5. Delivery. We arrange delivery to your site and coordinate with the manufacturer on installation and commissioning support where the order requires it.

Why the sequence matters

Skipping inspection or leaving CE documentation to a remote supplier is where most machinery imports go wrong: the equipment arrives but cannot be commissioned, or cannot legally be put into service. Running the steps in order, with an EU party accountable for each, is what turns a quote into a working machine. For a practical buyer view, see how to import machinery into the EU.
